Never Miss a Booking Again: WhatsApp and Smart Notifications, Built In
From booking request to thank-you message, Gustaio keeps guests and your team informed automatically — by email, push, and WhatsApp — with zero setup and actionable links in every message.

Never Miss a Booking Again: WhatsApp and Smart Notifications, Built In
Every restaurateur knows the feeling. It's the middle of the Saturday rush, the phone is ringing, and somewhere between the pass and table twelve, a booking request quietly arrives — and quietly gets missed. Or a guest books a table on Tuesday, forgets about it by Friday, and the deposit conversation gets awkward.
Notifications are not a glamorous feature. But they are the connective tissue between your restaurant and your guests, and when they work well, everything else gets easier: fewer no-shows, fewer phone calls, fewer "did you get my reservation?" emails. That's why we built the Gustaio notification system to work out of the box, for every restaurant, with no complex setup — and why we've now extended it with full WhatsApp support on both sides of the booking.
Your guests always know what's happening
From the moment a guest books an experience or a table, Gustaio keeps them informed automatically, in their own language (English, German, or Italian), on the channels they actually use:
- Booking received — when a request needs your approval, the guest immediately gets a confirmation that it has arrived and is being reviewed.
- Booking confirmed — a warm confirmation with all the details: date, time, party size, and two tappable links — one to view the booking anytime, one to cancel it if plans change. Guests who can self-serve don't call you during service.
- Reminder on the day — a friendly nudge before the event, including any personal message you want to add ("Remember comfortable shoes for the vineyard tour!") and a direct link to their booking.
- Thank you after the visit — sent after their experience, with your personal note and a one-tap link to leave a review while the evening is still fresh in their mind.
- Changes and cancellations — if a booking is cancelled or marked as a no-show, the guest is informed right away, including any applicable fee, so there are no surprises later.
Every one of these arrives as a beautifully formatted email — and, if the guest booked with a phone number, also as a WhatsApp message. No app to install, no account to create. It lands where your guests already are.
You and your team stay in the loop, too
The other half of the story is the one most booking systems neglect: keeping you informed. Gustaio notifies your restaurant on three channels, automatically:
- Push notifications in the Gustaio Studio App, the moment a new request or confirmed booking arrives — tap it and you're looking at the reservation, ready to act.
- Email notifications to any addresses you choose — the manager, the front desk, the events inbox. You can even set different recipients per experience, so the sommelier hears about wine-tasting bookings and nobody else's inbox fills up.
- WhatsApp for your staff — new requests, confirmations, and cancellations arrive as concise WhatsApp messages with everything you need at a glance: which experience, when, how many guests, who booked, and their phone number — plus a direct link that opens the reservation in your dashboard, ready to confirm or manage.
Each message is built for action, not just information. A pending request tells you someone is waiting for your answer and takes you straight to the approve screen. A cancellation tells you a table just opened up.
No setup. Really.
Here's the part we're most proud of: there is nothing to configure to get started. The moment your restaurant is on Gustaio, guest emails, booking links, reminders, and push notifications simply work. Everything is localized automatically — guests get messages in their language, your team gets them in yours.
Want WhatsApp notifications for your team as well? That's one switch and a phone number: open Settings → WhatsApp in the Gustaio Studio App, flip the toggle, and add the numbers that should be notified — as many as you like, and different ones per experience if you want. If no number is set, nothing is sent; if it is, everything works. That's the whole setup guide.
The quiet feature that pays for itself
Reminders reduce no-shows. Cancellation links free up tables you can resell. Review links capture feedback at the moment guests are happiest. And staff notifications mean a booking request made at 11 pm gets a response first thing in the morning, not whenever someone remembers to check a dashboard.
None of this requires a workflow change, a training session, or an integration project. It's already there, working for every restaurant on Gustaio — yours included.
